Dear All Committee Members and Block Reps,
Salam and Greetings to all!
First of all, my apologize for the slow momentum recently due to my office work load, but nevertheless we still maintain and upkeep the association progress to ensure the benefits, safety, comfort and needs of the residents. Of course, it’s impossible to fulfill the needs of the residents in short time.
As we are looking forward for excellent achievements for the association, I believes, we should tighten back the committee’s involvement in our activities.
As such, currently we are working is small groups with group head to lead major activities such as for the preparation for AGM, security problems and etc.
As for updates, below is the progress :
AGM PREPARATION:
This AD-HOC committee for AGM is headed by Mr.Haredas, assist by Mr. Raymond Lee and myself. We had our discussion last two weeks at my house and the attendance inclusive or myself, Mr.Haredas, Mr.Redzuan, Mr.Raymond Lee and Mr.Tai. We had resolved suggestion as follows:-
The AGM is suggested to be held on the 9th August 2009 (Sunday) – On the 9th itself, we will conduct the Extra Ordinary General Meeting (EGM) and then follows by AGM. It will be held in one of the road in Hilir 4 or 5 or beside Mr. Raj house (location of our gotong royong tents)
During this meeting, we will invite the Jabatan Perpaduan to give a briefing regarding Set up and benefits of Rukun Tertangga (Will be conduct after the EGM)
The Guest of Honour for the AGM suggested, the MEMBERS of PARLIAMENT, DATO SERI ONG TEE KEAT and ZON 16 COUNCILLOR, TUAN HAJI MEOR RETHUAN.
For your information, tomorrow, 18th June 2009, at 3:00pm, I will be meting up with YB assistant, Encik Khairul Anuar, from Majlis Kebajikan dan Pembangunan Masyarakat PANDAN, Pusat Khidmat Rakyat Ahli Parlimen PANDAN P100 to discuss regarding our AGM. The discussion involved to invite YB as our guest of honour, to request sponsorship from the YB for the PA System, the tents, chairs and table for the whole day.
Regarding the Independent Auditors for our accounts, we had resolved in the last Committee Meeting to appoint AFRIZAN TARMILI KHAIRUL AZHAR (AFTAAS), Chartered Accountants AF1300, to audit our accounts. By today, I should received the sample of appointment letter from them for us to prepared, as mentioned earlier the fee for the audit report is RM 900.
SECURITY APPOINTMENT:
Based on the last committee meeting, I believes that all of our committee members are aware that the current security company (KOPS SECURITY) had not PERFORMED WELL and never improved their performance especially in the manpower supply to our taman. Therefore, leads by Mr. Nash, and assist by myself, we had progressively seeking for new security company to replaced KOPS Security. On the 30th of May 2009 (Saturday), we held interview for 6 securities companies to scan and convey our need to them.The interviews conduct at my office. During the security interview, our committee representatives are Myself, Mr.Nash, Mr. Redzuan and Mr.Raymond Lee. We had requested all the security companies to prepare a proposal based on our needs and our S.O.P.
On last Monday, 15th June, 2009, We gathered at Mr. Nash house to review the proposal received from 4 of the companies. The review meeting was attended by me, Mr.Nash, Mr. Raymond Lee, Mr. Zailan, Mr. Azmi and Mr. Redzuan. During this meeting, we had identified 2 companies which had presented their proposal well and according to our needs. The additional service in the proposal inclusive of CCTV monitoring, alert system and etc.
On next Friday committee meeting, on 26th June 2009, at Nash house, both of the security company will be invited for their final presentation with all our committee members. I WOULD LIKE TO SEEK ALL THE COMMITTEE MEMBERS CO-OPERATION TO ATTEND THIS MEETING TO ENSURE WE SELECT THE RIGHT SECURITY PARTNERS FOR THE BENEFITS AND SAFETY OF OUR TAMAN.
DIALOGUE WITH YDP, MPAJ:
I was informed by Zon 16 Counsellor, Tuan Haji Meor that the YDP is very busy with tight schedule, therefore he suggested we held the dialogue with The Timbalan YDP, this is one of the best method for us to convey our problems to the top management of MPAJ. I did not yet prepared the letter since if the dialogue is confirmed, it needs participation of at least 80% of our committee members to be present during the dialogue. Usually the dialogue is held during office hours. The dialogues will also inclusive of official visit to all the depts. of MPAJ.
Kindly feedback your response regarding this DIALOGUE and suggested date for me to prepare a letter to ENSURE MAXIMUM PARTICIPATION FROM ALL THE COMMITTEE MEMBERS.
OTHER MATTERS:
Environmental issues, cleanliness issues and etc that need to discuss further. I had suggested earlier to set up a environmental and health division, to cater all the areas problems with the authority.
